This event will replace Camp Lee and is combined with Trunk or Treat. That means TWICE THE FUN! The Fall Bash will be an evening event of fun with family-oriented activities such as a ghoulish dance party, a scavenger hunt and food trucks!
We are looking for a Committee Chair who will work closely with a small team of volunteers to coordinate trunk or treat, the activities, food vendors, and set up and tear down the event. There are already some volunteers lined up ready for you to lead!
Red Ribbon Week -   **CHAIR NEEDED**

Coordinates a week worth of activities to promote drug and alcohol prevention. There are CA State PTA guides for this with suggestions and lots of ideas on pinterest. Hang signs and red ribbons around the school. Create dress up days (and coordinate with Mrs. Vento for approval) and create a flyer for parent awareness for student participation.

Lee Carnival -    **CHAIR NEEDED**

Date: May 14th

Coordinate the planning of this event, typically held in the fall. Requires planning with and approval from PTA exec board and Principal. Secure rentals for inflatables and tables and chairs, along with booths. Find a team of committee leads (or coordinate with PTA President to find) and set up a planning meeting very early in the school year. Plan advance ticket and wristband sales and distribution. Plan and coordinate food trucks, DJ, snack sales, and games and prizes. Coordinate a set up and clean up crew.

  • Coordinate performances
  • Promote events

Book Fair -

Dates: Nov. 30th - Dec. 4th

Coordinate with Scholastic (or other company approved by Exec board and Association) to determine book sale dates, and then create flyers to distribute. Find volunteers to help run the book fair (trusted volunteers good with money and comfortable using registers, volunteers to stand by the door for crowd control and volunteers to be in the room to help students find books and reshelve books throughout the day). One exec board member must be present the entire time since there is handling of money. Chair coordinates the delivery of books and is in charge of setting up the room and is also in charge of packing up the end of the fair and coordinating pick up. Money must be counted daily by 2 board members and deposited in the safe and totals must match receipt totals. Coordinate with teachers ahead of time to create wish lists and help purchase those wish list items after the fair with book fair profits (for any books not purchased by parents). Also coordinate classroom visits with teachers so each class can visit the book fair. Book fair hours are up to the coordinator but it is recommended to have multiple after school days with one evening day until 6 to accommodate working parents. Also recommended to not have after school hours on the last day to avoid being there so late to count money and pack up. Will also need to get $50 in petty cash and $50 in coins to start the book fair (coordinate with the Treasurer on this).

Advocacy -

Attends quarterly meetings with 4th District PTA (or reads the summary if unable to attend) to learn about the latest California State PTA advocacy issues. Also give a brief summary at PTA Association Meetings (bullet point summary is provided for you to share.) Optional: attend Sacramento Safari, a program with 4th District PTA to send PTA advocates to Sacramento for two days to advocate on behalf of PTA and speak with our State Representatives.

Back to School Kits -

Coordinate with office manager (Stephanie Wyatt) and grade level leads to get lists of supplies and coordinate these details with the supply company of choice. Create a flyer for distribution and tally orders. Coordinate with the Exec Board for money collection and counting.

Bulletin Boards -

Update the 3 bulletin boards on site at Lee on a weekly basis using the key information distributed in the Weeklee as well as promoting upcoming PTA events with fliers. Post PTA association meeting agendas and election information as well. Highlight the volunteer of the week each week too.

Family Night/Movie Night -

Date(s): TBD

Coordinate at least 1 family fun night per year. One night should be a movie night, but other events can be scheduled (schedule and budget permitting).

5th Grade Activities -

Coordinate with the 5th grade teachers to plan events for the year. Coordinate the ordering of 5th grade shirts and yearbooks (create a flyer for this) and tally information. Work with the Exec Board to count money that comes in (or set up all online collections–coordinate with the treasurer on this). Also coordinate end of year activities like Soak City, promotion events, and yard signs (if this is done again). Coordinate with a 4th grade parent (incoming 5th grade activities coordinator) to help with promotion reception.

4th Grade Activities (liaison to 5th) -

Works with 5th Grade Activities coordinator to plan the promotion reception and then plans to take over duties as 5th Grade Activities coordinator the following year.

Gently Used Book Sale -

Date: Jan. 25th - 27th

Coordinate the collection of gently used books from Lee families (create a flyer for this) with guidelines for TK-8th grade reading levels. Find volunteers to collect the books from classrooms and set up Room 32 with various categories for the books. Can have a class contest to see who collects the most books with a prize (like popsicle party) if desired. Set up classroom visit times with teachers and book fair times (suggested 3-4 days total) and find volunteers to help with sales. An exec board member must be present at all times since there is money collected. Exec board members to count money each day. Arrange to donate any remaining books after the fair with local youth programs. Will also need to get $!50 petty cash to start the fair (coordinate with the Treasurer on this.)

Hospitality: Back to School, Breakfast and Holiday Staff Luncheon -

Coordinates a breakfast for staff before school starts (coordinate with Mrs. Vento to determine date) and also coordinate a staff luncheon before winter holidays. Set up a buffet style meal for ALL staff to enjoy. Decorate the room (tablecloths, centerpieces etc) and provide simple decor on the buffet table. Set up and clean up.

Kinder Meet and Greet -

Create flyers and invite incoming Kinder families to this meet and greet event to take place on the kinder playground the Saturday before school starts. Have a few fun things like sidewalk chalk and bubbles (check the shed for supplies) and also a treat for kiddos (like donuts and water). Also, create a photobooth backdrop for families to take pictures.

Additionally, this chair is in charge of purchasing a simple treat for all kindergarten students for the first day of school (i.e. fruit snacks or goldfish type of thing). This will get reimbursed. Many kinder students forget a snack on the first day, so we provide this in the morning to all of the kinder teachers.

Popsicle Posting Party -

Create a flyer (or get someone to) and pick up all the popsicles the day before (last year I went to a few grocery stores to get them all to be the same) and store them in the school freezer. Then set it up in cooler that afternoon. We have someone to make all the grade level posters and working on getting some dads to be in charge of setting up and taking down ez ups.

PTA Event Photographer -

Take photos (with a phone is fine!) during PTA events and share photos with Mrs. Vento for social media and with the PTA exec board.

Room Parent Coordinator -

Coordinate with Room Parents to plan events for the year like classroom celebrations, Staff Appreciation Week, etc. Share information with Room Parents so everyone is on the same page and follows the same guidelines.

Shed Organizer -

Periodically check on the shed to make sure things have been put back in their labeled places (and also check after large events). Clean out items that are getting too cluttered/no longer needed.

Special Needs Liasion

This is a liaison position to share from the district committee. There’s a district level special needs committee that will meet about once a month and provide tips on ways to be more inclusive at our school sites with special needs kids. For example: have a sensory table at carnival so those kids can have an experience that works for them. The liaison attends meetings/gets info and shades that with us at our pta meetings so we can improve our programs.

Spirit Wear -

Coordinate with distributor to set up sales for items (possibly in summer before school starts and then again after school starts and again mid-way through the year) and coordinate distribution of items after they arrive. Coordinate collection of new or gently used items to be donated for students in need and coordinate with teachers to find out who needs those items.

Staff Appreciation Week -

April 12th-16th

Coordinate a week’s worth of events for all staff (lunches, breakfasts, etc) to celebrate our staff. Coordinate with Room Parent Coordinators since Room Parents also help with events.

Survival Kits -

Creates flyer and works with kit company to arrange order. Tally orders and after kits arrive, label with student names and deliver to classes to be placed in emergency supply bins (or if parents ordered extra for home, then send home with students). Kits need to be replaced every 5 years.

Volunteer Thank You Event -

Run by the PTA President and Project LEAP President. Coordinate an event (breakfast, lunch etc) to thank ALL of the parent volunteers who help on a regular basis (classroom volunteers, room parents, PTA committee chairs and exec board, LEAP board).

Website Updates -

Once a month, or as needed, update the PTA website with upcoming events and relevant information and flyers. This will be busier at the start of the school year but then will taper down. Also post PTA association agendas at least 1 week before meetings.

Room Volunteer -
Please see your child’s teacher for more information!
